This privacy policy applies to the program Temia Business Portal for Windows and macOS (“desktop version”), the app Business Portal for iPhone and iPad (“iOS app”) and the support pages at https://temia.de/web-services/busi_support/. The rest of the website temia.de has its own notices.

The Business Portal manages customers, invoices and documents, items and stock, expenses, tasks, time tracking, absences, travel expenses, employees and collections. You decide where this data is stored by choosing the database:
The program contains no third-party analytics, tracking or advertising services and creates no usage profiles. You create backups yourself and decide where they are stored. The following sections describe which information nevertheless reaches us.
At every start, the desktop version asks the temia.de server in the background whether a new version is available and which plan (e.g. PRO, Corporate) belongs to your installation. The following is transmitted:
Using the installation key, the server checks whether a plan contract exists; this determines the unlocked features and the advertising (section 10). If the installation key is assigned to a customer account with us, the request can be attributed to that customer; otherwise it is pseudonymous.
Each request is stored with the IP address and the information listed above in a log table on our server. In addition, the operator is informed by e-mail about the program start (installation key, number of starts, operating system, IP address).
The iOS app does not send this request.
Purpose and legal basis: providing the contractually agreed plan features (Art. 6(1)(b) GDPR); notification of new versions, troubleshooting and an overview of the program versions in use, based on our legitimate interest (Art. 6(1)(f) GDPR).
Retention: log entries and notifications are deleted as soon as they are no longer required for the purposes stated; on request we delete the entries for your installation key.
Objection: you may object to this processing under Art. 21 GDPR (section 14).
The Business Portal has no registration function and can be used without an account. If you conclude a plan contract for the desktop version, we process the contract and billing data required for it and assign your installation keys to your customer account (Art. 6(1)(b) GDPR; accounting records are kept for up to ten years under § 147 of the German Fiscal Code, AO).
If you have a plan for the desktop version, you can link your installation key in the iOS app under “More → Premium”. The app then sends only this key, encrypted (https) and at most once a day, to temia.de/web-services/portal_premium_status.php. The server only answers “Premium yes/no”, plan and term – without name or customer number. The key is not logged and no e-mail is sent. In multi-user mode the linked key is stored in your shared database.
To prevent abuse, the server limits the number of requests per IP address. For this it does not store the IP address itself, only a check value formed with a secret key (HMAC) together with a counter; these counters are deleted regularly once they are older than two days. The same applies to the support pages (section 6).
Legal basis: Art. 6(1)(b) GDPR; abuse prevention Art. 6(1)(f) GDPR.
Premium users can send a request to our support via “Open a new ticket”. The following is processed:
The ticket is stored as a file in a folder on our server that is not publicly accessible. For every new ticket and every reply from you, our support mailbox support@temia.de receives an e-mail with this information and the text of your message. When support replies, you receive an e-mail at the address you provided that contains only a link to the ticket. Sending and mailboxes are handled by IONOS. The support pages set no cookies and load no external content.
Legal basis: Art. 6(1)(b) GDPR (support as part of Premium); abuse prevention Art. 6(1)(f) GDPR.
Retention: tickets are kept as long as necessary for handling the request and keeping it traceable. On request we delete a ticket unless a statutory retention obligation applies (up to six years for business correspondence, § 147 AO).
If you write an e-mail to contact@temia.de or use the contact page temia.de/de/busi_support.php, we process your information to handle your request. Under “More → Support”, the iOS app prepares an e-mail containing the program version, device model, system version, language and region, and the app’s error log as an attachment (program starts, error messages, in multi-user mode also login names). You see the e-mail before sending and decide yourself whether to send it; it is sent from your own e-mail account. The desktop version opens the contact page in your browser with your installation key in the address.
Legal basis: Art. 6(1)(b) GDPR, otherwise Art. 6(1)(f) GDPR (answering enquiries). Retention: until the request has been dealt with, beyond that only within statutory retention obligations.
Premium can be bought in the iOS app as a subscription (monthly or yearly) or as a one-time purchase. Purchase, payment, renewal and cancellation are handled exclusively by Apple’s App Store; Apple is a separate controller for this (apple.com/legal/privacy). We do not receive any payment data. The app checks on the device, via Apple’s interface (StoreKit), whether a purchase is active.
Only when you open a support ticket with an in-app purchase does the app pass the type of purchase and the original transaction number to our server. The server uses it to ask Apple’s App Store Server API whether the purchase is valid; Apple returns the transaction data (product, dates, expiry, any revocation). Of this, only the transaction number, type and expiry date are stored with the ticket. Legal basis: Art. 6(1)(b) GDPR.
Instead of your own database server you can use a Temia cloud database.
Setup (desktop version only): for a new cloud account, your e-mail address, language, program variant, the chosen storage location (region and place) and your IP address are stored. You receive an e-mail with a confirmation link; the operator is informed of the setup by e-mail (e-mail address, language, text of the confirmation e-mail). The iOS app does not create cloud accounts.
Connection: with the hosting key, the desktop version and the iOS app retrieve the database access data via https. The iOS app stores it only in the device’s keychain. Treat the hosting key like a password: anyone who knows it receives the access data.
Your business data: everything you enter afterwards – including personal data of your customers and employees (e.g. names, addresses, contact details, documents, working hours, absences, travel expenses, photos) – is stored in the cloud database. You are the controller for this data; we process it as a processor under Art. 28 GDPR solely to provide the database. We have technical access to the cloud databases and can retrieve administrative information such as the number of logins.
Storage location: you choose the storage location during setup (regions in the Americas, Europe and Asia/Australia). If the location is outside the EU/EEA, the data is transferred to a third country; for personal data we recommend a location in the EU. We will tell you the operator of the data centre on request.
Data processing agreement: we provide a data processing agreement under Art. 28 GDPR on request at contact@temia.de.
Encryption: the iOS app connects encrypted (TLS) whenever possible and warns if the server offers no encryption.
Legal basis and retention: account data: Art. 6(1)(b) GDPR; business data: on your instructions as processing on your behalf. The data remains stored until you end the cloud account or request deletion.
If you connect the program to your own MySQL or MariaDB server, the data flows directly between the program and your server. Temia Consulting receives none of it and is neither controller nor processor for this processing. The iOS app stores database passwords only in the keychain, uses TLS by default and remembers the fingerprint of the server certificate; for servers on the local network, iOS asks for the “Local Network” permission. In multi-user mode the program writes logins (with device name), editing locks and a change history to your database – this is part of your own processing.
Without a plan or Premium, the program shows banners for other Temia programs (iOS app: no earlier than 90 days after the first start). The images are included in the program; no data is transmitted to display them. There is no ad network, no advertising ID and no tracking. Whether the desktop version shows banners results from the plan check (section 3). Only when you click a banner does a temia.de page open in your browser. The website’s privacy notices apply there.
Beyond this we do not pass on or sell your data.
With every request to our server (support pages, plan and update check, cloud access, this page), our host IONOS processes technically necessary information, usually IP address, date and time, the requested address including its parameters (e.g. installation key, version, language), status code, amount of data and browser or program identifier. The purpose is operation, security and troubleshooting (Art. 6(1)(f) GDPR). The type and duration of storage of these logs are determined by IONOS.
You have the right of access (Art. 15 GDPR), rectification (Art. 16), erasure (Art. 17), restriction of processing (Art. 18) and data portability (Art. 20). You may object at any time to processing based on Art. 6(1)(f) GDPR (Art. 21 GDPR). You may withdraw any consent given at any time with effect for the future (Art. 7(3)). An e-mail to contact@temia.de is sufficient; please state your installation key or e-mail address so that we can find the data. For data in the Temia Cloud or on your own server, the business operating the Business Portal (i.e. your company) is the point of contact for its customers and employees.
You may lodge a complaint with a data protection supervisory authority (Art. 77 GDPR). The authority responsible for us is the Bavarian Data Protection Authority (Bayerisches Landesamt für Datenschutzaufsicht, BayLDA), Promenade 18, 91522 Ansbach, Germany, www.lda.bayern.de.
You are not obliged to provide us with any data; in single-user mode the program can be used without giving us any information (the desktop version does, however, send the request described in section 3 as long as it has internet access). For Premium support we need an e-mail address, for the Temia Cloud the account data. There is no automated decision-making or profiling.
We adapt this policy when the program or the processing changes. The German version is authoritative; the translations are provided for convenience. Last updated: 15 October 2026.
