Tutorial 1: Invoice Recipient, Insurance Companies with Address and Text Parameters

"Settings -> Insurance companies"

"Patient -> Insurance"

"Invoice -> Invoice recipient"

"Invoice text -> Text parameters"

"Print preview"

As of version 2.01.29 an invoice can be addressed to a recipient other than the treated patient, for example to the patient's insurance company or to a relative. For this purpose insurance companies now have a complete address, and four new text parameters with the patient's data are available in the invoice text. This tutorial shows the procedure step by step.

"Settings -> Insurance companies"

Open the menu "Settings -> Insurance companies" or the "Settings" tab and there "Patients -> Insurance companies" in the tree. The table lists all insurance companies with street, zip code, city, e-mail and phone number.

WINDOWS:

Use "Create" or "Edit" to maintain an insurance company. In addition to the title there are now the fields "Name 2" (second name line), "Street, house number", "Zip code", "City", "Country", "Contact person", "E-mail" and "Phone number". These details are later used as the invoice address. Existing insurance companies are kept; simply add the address there.

WINDOWS:

"Patient -> Insurance"

In the patient record ("Patients" tab, sub-tab "General") select the insurance company from the list in the "Insurance" section and enter the insurance number. Both values are later available as text parameters in the invoice.

WINDOWS:

"Select..." opens the table of insurance companies with all address data. There you can also create a missing insurance company directly with "Create" and transfer it to the patient record with "Apply entry".

WINDOWS:

"Invoice -> Invoice recipient"

Create a new invoice in the "Invoices" tab and select the patient in the "Patient" section via "Number -> Select...". As before, the address fields are filled with the patient's data.

WINDOWS:

New is the line "Invoice recipient". Clicking "Select..." opens a prompt with four options:

"Insurance company..." - the invoice goes to an insurance company; the table of insurance companies opens.
"Patient..." - the invoice goes to another patient, for example a parent; the patient list opens.
"Default" - the treated patient is the recipient again.
"Cancel" - change nothing.

WINDOWS:

After selecting an insurance company its name, "Name 2", street, zip code, city, country, contact person, e-mail and phone number are copied into the address fields of the invoice. The selected recipient is shown next to the button, here "Insurance company: Sample Health Insurance". The fields can still be edited manually if required. The patient (field "Number") remains unchanged, so the invoice still appears in the patient's record.

The invoice recipient is saved together with the invoice. When the invoice is opened again later or the patient is selected again, the different address is kept as long as a recipient is set. "Default" resets the address to the patient.

WINDOWS:

"Invoice text -> Text parameters"

In the "Invoice text" tab switch on the table of text parameters with "Help". New are four parameters with the data of the treated patient, regardless of who receives the invoice:

!insurance! - insurance company of the patient
!insurancenr! - insurance number of the patient
!patientname! - name of the patient
!patientbirth! - date of birth of the patient

Simply write the parameters into the text block, for example: "please find enclosed the invoice for the treatment of !patientname! (born on !patientbirth!), insured with !insurance!, insurance number !insurancenr!." The same works in the invoice templates under "Settings -> Invoice templates", so that the text is preset for every new invoice.

WINDOWS:

"Print preview"

The "Print preview" tab shows the result: the address field contains the address of the insurance company, and in the text the parameters are replaced by the patient's name, date of birth, insurance company and insurance number. From here you print the invoice or save it as a PDF file.
